How to Compare Excel Files

excel filesHow to compare excel files is not a difficult question to answer. The purpose of comparing two excel files is to identify the similarities as well as the differences in the data. With the help of the comparison tool, the problem of manually locating similar data is reduced, whereas, the accuracy in the reading of the factual data required for visual comparisons is increased. The advantage of comparing spreadsheets is that it gives you a clear understanding about the difference between the two and you can make better conclusions that may not have been easy before. How to compare two excel files requires a procedure which is explained below

  • Open up the Excel software and access the first file you wish to compare. This can be done clicking on the “Files” menu, then click on the “Open” button located on the toolbar menu and then search your file. Click “Open” again to display your file on the screen.

  • Repeat the first procedure for opening the second file you would want to compare.

  • From the toolbar menu, select “Window”, after this, select “Compare Side by Side With” option. Outline the file you want to compare in the dialog box and then click “Ok”.

  • In the “Compare Side by Side With” menu, click on the icon of “Synchronous Scrolling” in order to get it activated. Through this feature you will be able to scroll in both the comparison files simultaneously.  If, at any time you want to scroll in a single document only, click once on the icon which will bring the scrolling position back to normal.

  • To reset the position of the windows, click on the “Reset Position Window” icon once which you will find in the “Compare Side by Side With” menu. By doing this, the position of the second file will be changed and will be placed on top of the first file, while still remaining in view. It should be noted here that this option is useful for comparing two documents at a time. If there are more than two files, the system will automaticallly compare the two files that were opened first.

  • Click on the “Compare Side by Side With” menu and then on the “Close Side by Side” option to close the program.
